Migrating to CHAIR

Switching from Acuity Scheduling

These steps help you prepare copies of the data Acuity Scheduling makes available. CHAIR does not import them automatically: submit a migration-help request and a person will review the available fields, confirm the scope, and explain the next step. Keep client data private until then.

Export your clients

Prepare the provider’s supported export. The CHAIR team will confirm which records and fields can be used.

  1. Go to Clients, then Import/export

    Open Acuity in a browser, select Clients, then Import/export.

  2. Choose Export client list

    Select Export client list, then use the drop-down to pick All clients. The file includes names, emails, and phone numbers.

  3. Download and save the CSV

    Keep the file private until CHAIR replies to your migration-help request with the next step.

Prepare your services

Prepare the service fields your provider actually includes. CHAIR will confirm each mapping and flag variants, bundles, or staff rules that need manual setup.

  1. Review Appointment Types

    Acuity’s official export guide covers clients and appointments, not an appointment-type spreadsheet. Open Appointment Types and check your current names, prices, durations, and categories.

  2. Prepare screenshots or a spreadsheet

    Capture those details for CHAIR to review, and ask Acuity Support if your plan has another export option.

Prepare upcoming appointments

This creates a reference file for your request, not an automatic booking import.

  1. Open Reports, then Import/Export

    Select the date range for the appointments you want to export and choose whether to include cancelled appointments.

  2. Choose any intake-form filter carefully

    Selecting an intake form limits the export to appointments with that form attached. Leave it unselected if you need the broader appointment list.

  3. Select Export appointments

    Acuity downloads a CSV. Include upcoming-appointment help in your CHAIR request so the team can review the file and confirm what can be set up.

Heads up: Acuity officially documents CSV exports for clients and appointments. We could not verify a public appointment-type or service-menu CSV export, and Acuity does not publish a response-time promise on the export guide.

What happens after you request help

    Your request is recorded

    CHAIR shows an on-screen receipt and, when email delivery succeeds, sends a confirmation to your contact address.

    A person reviews the scope

    Support confirms which client, service, and future-appointment fields are compatible and gives you an expected timeline.

  3. 3

    The transfer route is agreed

    Support confirms an approved transfer route before asking for a file. If none is available, keep the export private and continue with the agreed manual setup. Do not attach client exports to email, live chat, or WhatsApp.

    You verify before going live

    If data is added, compare record counts, service prices and durations, and upcoming appointments with the original. Keep your old system available until that review is complete.
