Terms of Service

1. About these terms
These terms govern your use of the CHAIR booking platform (the “Service”), operated by CHAIR SOFTWARE LTD(“CHAIR”, “we”, “us”). By creating an account or otherwise using the Service you agree to these terms. If you do not agree, do not use the Service.
2. Accounts
- You must be at least 18 years old to create a professional account. Customer accounts may be created from age 16 with parental consent where required.
- You are responsible for the activity that happens under your account. Keep your password confidential and notify us at [email protected] if you suspect unauthorised access.
- You agree to provide accurate information when creating and maintaining your account, including a real name and contactable email address.
- We may suspend or terminate accounts that breach these terms, attempt to defraud customers, or are used to facilitate illegal activity.
3. The Service
CHAIR provides:
- For professionals: a calendar, customer list, public booking page, online payment collection via Stripe, and marketing tools.
- For customers: the ability to discover and book appointments with professionals listed on the platform.
CHAIR is a software platform. We are not party to the contract for services between a customer and a professional — that contract is between the two of them. We do not provide the underlying services (haircuts, treatments, consultations, etc.) and we do not guarantee the quality, safety, or legality of any booking made through the Service.
4. Subscriptions (professionals)
- Paid features for professionals (public booking page, accepting new bookings, marketing tools) require an active subscription.
- New professional accounts include a 30-day free trial. A payment method is collected at sign-up but you will not be charged during the trial. You can cancel any time before the trial ends to avoid being charged.
- Subscriptions auto-renew at the end of each billing period at the then-current price unless cancelled. Cancellation takes effect at the end of the current billing period — you keep access until then.
- If a payment fails we will retry and notify you. We give a 7-day grace period before paid features are disabled; the underlying account, customer list, and existing booking history remain accessible.
- Prices are inclusive of UK VAT where applicable. We may change subscription pricing with at least 30 days' notice by email; price changes only take effect on your next renewal.
5. Payments & payouts
- Card payments for bookings and subscriptions are processed by Stripe. CHAIR does not store card numbers.
- Professionals using Stripe Connect to accept online payments are responsible for completing Stripe's identity verification (KYC) requirements and for any taxes (income, VAT) on the income they earn through the Service.
- Stripe's standard processing fees apply to each transaction. CHAIR may charge an additional platform fee — the current rate is displayed when you connect your Stripe account.
- Payouts to professionals are made by Stripe on the schedule set in your Stripe dashboard. CHAIR does not hold funds on your behalf.
6. Refunds & cancellations
- Bookings: the cancellation and refund policy is set by each professional and shown on their booking page. Customers should contact the professional directly first. Where a refund is owed for a prepaid booking, the professional can issue it through their CHAIR dashboard.
- Disputes: if you cannot resolve a refund directly, contact [email protected]. We may mediate but the contract is between you and the professional — final liability rests with them.
- Subscriptions: subscriptions are non-refundable for the current billing period once it has started, except where required by UK consumer law. Cancel before renewal to avoid being charged for the next period.
7. Acceptable use
You agree not to:
- Use the Service for any illegal purpose or to facilitate illegal activity.
- Upload content that is unlawful, hateful, harassing, defamatory, sexually explicit, or that infringes someone else's rights.
- Misrepresent your identity, qualifications, or the services you offer.
- Use the Service to send spam, harvest emails, or scrape data.
- Attempt to gain unauthorised access to the Service, other accounts, or our infrastructure (penetration testing without written permission, credential stuffing, exploit probing, etc.).
- Interfere with the Service (DDoS, abusive automation, deliberate rate-limit evasion).
We reserve the right to remove content, suspend accounts, and report illegal activity to the relevant authorities.
8. Your content
You retain ownership of content you upload (profile photos, business descriptions, service catalogues, etc.). You grant CHAIR a worldwide, non-exclusive, royalty-free licence to host, display, and distribute that content solely to operate the Service. You are responsible for ensuring you have the right to upload anything you upload — including photos of people, copyrighted material, and trademarks.
9. Availability
We aim to keep the Service available 24/7 but do not guarantee uninterrupted access. We may schedule maintenance, deploy updates, or experience outages from time to time. Where we know about planned downtime in advance we will give notice via the platform or by email.
10. Liability
Nothing in these terms limits liability that cannot be limited by law (death or personal injury caused by negligence, fraud, or a breach of statutory rights you have as a consumer).
Subject to that:
- The Service is provided “as is” without warranties beyond those required by law.
- We are not liable for the conduct, services, or content of professionals or customers using the Service.
- We are not liable for indirect or consequential loss (lost profits, lost data, business interruption) arising out of your use of the Service.
- Our total aggregate liability to you in any 12-month period is capped at the amount you paid us in that period (for free users, this is £0).
11. Termination
- You can close your account at any time from your account settings or by emailing [email protected].
- We can suspend or terminate your account if you materially breach these terms, fail to pay, or use the Service to facilitate fraud or harm to others.
- On termination, your data is handled per our Privacy Policy — personal data is removed within 30 days, except where retention is required by law (e.g. transaction records for HMRC for 6 years).
12. Changes to these terms
We may update these terms from time to time. Material changes will be communicated by email or a banner on the platform at least 14 days before they take effect. The “Last updated” date above tracks the most recent revision. Continued use of the Service after the effective date constitutes acceptance.
13. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales, except where you have non-waivable rights to bring proceedings in your country of residence as a consumer.
