Migrating to CHAIR

Switching from Square Appointments

These steps help you prepare copies of the data Square Appointments makes available. CHAIR does not import them automatically: submit a migration-help request and a person will review the available fields, confirm the scope, and explain the next step. Keep client data private until then.

Export your clients

Prepare the provider’s supported export. The CHAIR team will confirm which records and fields can be used.

  1. Open the Customer Directory on a computer

    Sign in to your Square Dashboard in a web browser, then go to Customers and open the Customer Directory. The export tool lives on the desktop dashboard, not the Square mobile app.

  2. Open the Import / Export menu

    On the Directory page, click Import / Export, then choose Export Customers.

  3. Choose the customers

    Select All Customers or a specific group, then click Export.

  4. Download the CSV

    Square’s official UK instructions describe a CSV customer export. Keep it private until CHAIR replies to your migration-help request.

Prepare your services

Prepare the service fields your provider actually includes. CHAIR will confirm each mapping and flag variants, bundles, or staff rules that need manual setup.

  1. Open the Item Library

    In Square Dashboard, go to Items & services (the wording may also appear as Items & menus or Items & inventory), then Items, then Item Library.

  2. Choose Actions, then Export Library

    Export the library as Excel or CSV. Filters can limit which items appear, so check the current view before exporting.

  3. Verify services before requesting help

    The Item Library is broader than an appointment-service menu. Check that service rows, variants, prices, and durations are represented correctly; capture missing duration or variant details separately.

Heads up: Square documents the customer list as a CSV export. Its Item Library can be exported as Excel or CSV, but it is not a dedicated appointments-service export, so verify service duration and variant details against your live setup.

What happens after you request help

    Your request is recorded

    CHAIR shows an on-screen receipt and, when email delivery succeeds, sends a confirmation to your contact address.

    A person reviews the scope

    Support confirms which client, service, and future-appointment fields are compatible and gives you an expected timeline.

  3. 3

    The transfer route is agreed

    Support confirms an approved transfer route before asking for a file. If none is available, keep the export private and continue with the agreed manual setup. Do not attach client exports to email, live chat, or WhatsApp.

  4. 4

    You verify before going live

    If data is added, compare record counts, service prices and durations, and upcoming appointments with the original. Keep your old system available until that review is complete.
