
Migrating to CHAIR
Switching from Vagaro
These steps help you prepare copies of the data Vagaro makes available. CHAIR does not import them automatically: submit a migration-help request and a person will review the available fields, confirm the scope, and explain the next step. Keep client data private until then.
Export your clients
Prepare the provider’s supported export. The CHAIR team will confirm which records and fields can be used.
Open the Customers report as the owner
On a phone, go to More, Reports, then Customers. On a computer, tablet, Pay Desk, or PayPro, go to Reports, then Customers. Only the business owner can export this list.
Check your filters
Any filter limits the exported list. Leave filters clear if you intend to export the entire customer list.
Export on a phone
Use the Action menu in the top-right corner, then choose Excel. PDF is also available.
Export on desktop or another larger device
Use Export in the bottom-right corner, then choose Excel. This is the opposite placement from the phone interface.
Prepare your services
Prepare the service fields your provider actually includes. CHAIR will confirm each mapping and flag variants, bundles, or staff rules that need manual setup.
Open Employee Profiles
On the web, tablet, or Pay Desk, go to Settings, then Employee Profiles.
Download an employee’s service list
In the employee’s Status column, select Services. At the top, select Download, then Excel. PDF is also available.
Check each provider you need represented
Vagaro documents this as an employee-level service and price list. Repeat for providers whose services or prices differ, then tell CHAIR what each file represents.
Heads up: Choose Excel rather than PDF when possible. The customer export is owner-only, and the documented service-and-price download is per employee.
What happens after you request help

Your request is recorded
CHAIR shows an on-screen receipt and, when email delivery succeeds, sends a confirmation to your contact address.

A person reviews the scope
Support confirms which client, service, and future-appointment fields are compatible and gives you an expected timeline.

The transfer route is agreed
Support confirms an approved transfer route before asking for a file. If none is available, keep the export private and continue with the agreed manual setup. Do not attach client exports to email, live chat, or WhatsApp.

You verify before going live
If data is added, compare record counts, service prices and durations, and upcoming appointments with the original. Keep your old system available until that review is complete.
